About the role
Under the guidance of the DoLS Support Officer and Senior Practitioner, this role supports the administrative processes for the DoLS team and includes data inputting and maintenance, running standard reports, responding to internal and external queries, typing reports and other documentation as required.
The post holder will perform specific established administrative tasks to support work the service, for example processing applications and maintaining information and databases for use by others. They will arrange and support meetings, and distribute minutes and will assist in the maintenance of financial records. They will have effective customer service and communication skills and will raise any complex issues with senior staff as necessary.
Attention to detail is required for inputting and retrieving information from the specialised databases maintained in the department, for example, searching for personal information relating to a child, young person or vulnerable adult.
Data produced and inputted provides information for the Department for Children, Adults and Health and ensures statutory duties for South Gloucestershire Council are met.
This role is crucial in providing an excellent, flexible and diverse administrative service contributing to the compliance with the statutory requirements of the department in a constantly changing environment.
The DoLS Business Support Assistant will be expected to communicate within the team to ensure delivery of work to schedule, in consultation with the DolS Support Officer and Senior Practitioner.
Knowledge, Skills and Experience
1. You may have an NVQ2 or equivalent or will have a similar level of relevant experience
2. You will have relevant training and practical experience of administrative processes and procedures.
3. You will demonstrate a knowledge of relevant processes and procedures and some understanding of the wider context in which they are undertaken.
4. You will have good IT skills including knowledge of standard software packages and ability to be trained on bespoke software and databases.
5. You will have the initiative and judgement to identify problems and raise them with senior colleagues as appropriate.
6. You will have good verbal and written communication skills and a focus on customer needs.
You will have some appropriate skills to assist in the maintenance of financial records
Essential
1, 2 Previous experience of administrative processes and procedures
2, 3 Good organisational skills and attention to detail
2, 4 IT knowledge and its practical application, including experience of using Microsoft Office (Outlook, Word, Excel, PowerPoint)
4 Experience of working with databases.
5 The ability to identify problems and escalate them where appropriate
6 Good verbal and written communication skills with the ability to work as part of a team
7 Some experience of working with financial records
Desirable
1 NVQ 2 or equivalent in a relevant subject, e.g. business administration.
3 Knowledge of one or more work areas across the Children, Adult & Health department
